Privacy notice
How I look after your information.
This notice explains what personal information I collect through this website and when you get in touch, why I collect it, how I keep it safe, and your rights.
Who I am
Reflective Perspective Counselling is run by me, Charlotte Masek, a sole practitioner based in Bourton-on-the-Water. I am the data controller for the information described here, which means I decide how it is used and I am responsible for keeping it safe.
You can contact me about anything in this notice at charlotte@rpcounselling.co.uk. I am registered with the Information Commissioner's Office (ICO), registration reference ZC232392.
What I collect when you get in touch
If you use the enquiry form, email or phone me, I collect what you choose to give me: usually your name, email address, phone number, the age group of the person counselling is for, and a short message about what you're looking for.
Please don't include sensitive details about your child or your circumstances in your first message. We can talk about those when we speak.
Why I use it
I use your details only to reply to your enquiry and, if you decide to go ahead, to arrange a free initial chat or sessions. The lawful basis is that you've asked me to contact you, so that we can take steps towards working together. I won't add you to a mailing list, and I won't share your details without your consent except where the law requires it.
Where it is stored and for how long
Enquiry form messages are sent to my practice email account, which is hosted by ProtonMail. This website is hosted by Cloudflare, which processes the form submission to deliver it to me.
If an enquiry doesn't lead to counselling, I delete it within 6 months.
If you become a client
If we work together, I'll explain how I keep records, and the limits of confidentiality, in our first session, and you'll receive a written agreement.
Client records are encrypted and stored securely using Therasee, and this storage is backed up in the UK. Devices I use for my work are password protected and fully encrypted. Client records are kept for 7 years after the last session, or until the client reaches 18, whichever is longer, and are then securely deleted.
I discuss my work in clinical supervision, which is part of safe and ethical practice, but never in a way that identifies you. Information is only shared without consent where there is a risk of serious harm, or where the law requires it.
This website
This site doesn't use analytics or advertising cookies, and it doesn't track you. Like all websites, the servers that host it (Cloudflare) process technical information such as your IP address to deliver pages and protect the site from attacks. The site's fonts are loaded from Google Fonts, which means your browser connects to Google to download them.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the information I hold about you
- ask me to correct information that is wrong or incomplete
- ask me to delete your information, where I don't need to keep it for legal or professional reasons
- ask me to limit how I use your information, or object to it being used
You can ask in writing, by email or verbally, and you don't need to use any particular words. I'll respond within one month.
Complaints
If you're unhappy with how I've handled your information, please talk to me first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
